Receivables resolution & dispute workflow

Your aging report shows the balance.
It never shows the reason.

Balance Resolve finds the actual blocker behind every unpaid invoice, puts a name and a deadline against it, assembles the evidence that settles it, and turns the outcome into a dated commitment you can forecast.

No card required. Import a spreadsheet, keep your export, cancel whenever you like.

The gap every finance team lives with

A balance is not a reason. Chasing harder does not create one.

Reminder tools send more emails against a number nobody has explained. The invoice sits at 90 days because a purchase order was never raised, or a delivery receipt was never scanned, or a variation was never signed — and none of that is in the ledger.

  • Aging reports show balances but not the true blocker
  • Finance repeatedly chases operations for POs, approvals or delivery evidence
  • Disputes and promises to pay are buried in email and personal notes
  • Management cannot forecast which overdue balances are genuinely recoverable
  • Accounts reach external collections without a complete evidence pack

Same four balances. Now each one has a reason, a named owner and a date.

The workflow

Four moves, end to end, on every balance.

This is the whole product. Not reminders bolted onto a ledger — a resolution workflow that starts at the reason and finishes at collected cash.

  1. 01

    Resolve the reason

Classify the balance against 14 root-cause codes. Each carries an owner, an SLA and the documents that will settle it.

    • Missing PO
    • Unsigned variation
    • Awaiting approval
    • Cash-flow difficulty
  2. 02

    Assemble the evidence

The workspace knows which documents this blocker needs and scores the pack out of 100 before you commit to a position.

    • Contracts & POs
    • Delivery records
    • Timesheets
    • Written approvals
  3. 03

    Secure a commitment

Convert the resolution into a dated promise or an installment plan, tracked against the customer's actual behavior.

    • Promise to pay
    • Payment plans
    • Kept / broken tracking
    • Confidence grading
  4. 04

    Convert it to cash

Forecast from commitments rather than due dates, then attribute every pound recovered to the blocker it was stuck behind.

    • 13-week forecast
    • Recovery attribution
    • Escalation gating
    • Exportable packs
Where this is different

Five decisions that change the arithmetic.

Resolution-first, not reminder-only

Every case opens with a root cause, an owner and a deadline. A reminder is one possible action inside a resolution, never the whole strategy.

A ten-email chase against 'missing PO' recovers nothing. One approval link to the right person recovers all of it.

Internal and customer actions on one record

The timesheet your own operations team owes you sits next to the approval the customer owes you. Both block the same invoice, so both live on the same case.

Roughly half of overdue balances are blocked by your own side. Tools that only chase customers cannot see them.

Evidence completeness before escalation

Every case carries a score out of 100, measured against what its specific blocker actually requires. Escalation is gated on it.

A case sent to collections without the signed variation attached does not come back with money.

Disputed and undisputed balances kept apart

When a customer contests part of an invoice, the rest stops being hostage to it. The undisputed portion is worked and collected on its own timeline.

On a contested invoice, this alone typically frees the majority of the balance immediately.

Recovered cash attributed to cause and intervention

Every payment records which blocker held it and which intervention released it. You learn which of your own moves actually works.

This is the number that renews the subscription: cash recovered, traced to what you did.

Nothing happens that cannot be explained or undone

Every automated action stores a plain-English reason it fired and a reversal path. Rules stop the moment a case completes.

Finance teams do not adopt automation they cannot audit. So every action here is auditable and reversible by design.

Built for the sectors where this hurts most

Where invoices stall behind paperwork, not intent.

These are industries where the money is genuinely owed and the hold-up is a document, an approval or an unagreed variation.

What we promise about using it

A tool your team adopts in an afternoon.

Finance software usually arrives with an implementation fee and a six-week onboarding. This does not. You import the spreadsheet you already have and start working the first case the same morning.

  • First useful outcome within 15 minutes of signing up

Import, classify, and issue your first evidence request before your coffee goes cold.

  • Import your existing spreadsheet, no paid implementation

Column mapping is detected automatically from any standard ledger export.

  • A dashboard that answers what needs attention today

Role-aware: an operator sees their queue, a manager sees workload and exposure.

  • Every reminder is explainable and reversible

Open any automated action and read exactly why it fired. Undo it in one click.

  • Mobile-responsive external links with no login friction

Your customer approves, uploads or replies from a phone in under a minute.

  • Exportable evidence and data, always

Full account export at any time. Your record package outlives your subscription.

Security & data

Built to survive a finance director’s due diligence.

Tenant isolation is enforced at every data-access layer, not assumed at the edge, and material actions are written to an append-only audit trail.

Encryption in transit and at rest
MFA for privileged users, configurable sessions
Role-based and record-scoped permissions
Signed, expiring external links with revocation
Malware scanning, file-type and size controls
Backups, tested restoration, documented retention
Audit logs for auth, exports, settings and records
Privacy-by-design minimization and deletion
